Coordinator, CME/PD and AC Onboarding

Northwest Permanente (NWP) is a self-governed (physician led), multi-specialty group of over 1,500 physicians, surgeons, and clinicians, caring for over 576,000 members in OR and Southwest WA. Northwest Permanente is seeking a Continuing Medical Education/Professional Development (CME/PD) and Affiliated Clinician (AC) On-Boarding Coordinator to provide support to the general running of the CME/PD department and assist with projects that support NWP organizational goals. Implement, manage and evaluate AC on-boarding, mentoring, retention, and off-boarding programs. Provide consultation and education to managers, supervisors, and affiliated clinicians to appropriately support these programs.

Northwest Permanente is seeking a Continuing Medical Education/Professional Development (CME/PD) and Affiliated Clinician (AC) On-Boarding Coordinator to provide support to the general running of the CME/PD department and assist with projects that support NWP organizational goals. Implement, manage and evaluate AC on-boarding, mentoring, retention, and off-boarding programs. Provide consultation and education to managers, supervisors, and affiliated clinicians to appropriately support these programs.

MAJOR ACCOUNTABILITIES / ESSENTIAL FUNCTIONS

Clinical & PD Program Support (50%)

  • Provide direct department support to CME & Professional Development team including special projects, creation of PowerPoint masters, reformatting and combining of curriculum, updating departmental systems as needed, creation of training support materials for NWP physician group distribution and for classes, formatting unique training materials/forms, and creation of surveys for performance outcomes.
  •  Load various data onto laptops for conferences.  Creation of attendance sheets, name badges, place cards and gathering of conference materials.

AC Onboarding, Mentoring, Retention and Offboarding (50%)

  • Consult with Chiefs, facility managers and administrative managers to ensure that onboarding, clinical ramp up/preceptorship and mentoring programs align with practice needs.
  • Develop and implement department interview teams.  Instruct these teams in behavioral interviewing and implement department interview templates.
  • Manage onboarding of new affiliated clinicians so they have the necessary equipment, log-ins, and equipment to performs their clinical tasks.
  • Work cooperatively with CME/PD to consistently schedule the participation of affiliated clinicians in NCO 1, 2, and 3.
  • Design, manage and assist with department orientations. Provide DA/ADA with the Hiring and Onboarding Checklist. Ensure each affiliated clinician receives an orientation to their individual department and department processes.
  • Assign trained mentors to each new clinician and schedule appropriate HealthConnect support as needed. Maintain appropriate documentation for these processes.
  • Assist in facilitating the clinical ramp up schedules and preceptorships with the assistance of the Directors of Operation.
  • Develop on going two-way input and feedback processes for clinical responsibilities. 
  • Assist with offboarding practices for affiliated clinicians that meet internal and external regulatory and policy requirements.  This includes, but is not limited to assisting in conducting exit interviews as needed both in person and by phone.  Record summary data for use in annual affiliated clinician turnover reports.
  • Facilitate the implementation and coordination of localized retention programs including social/collegiality events as needed.
  • Assist with and manage systems to support the 90-day interviews, department stay interviews, and periodic retention interviews.
  • Manage weekly and monthly reports, including the mentoring reports, and other reports designed to track the effectiveness of the retention programs.

MINIMUM EXPERIENCE AND QUALIFICATIONS

  • Minimum of three years experience in working in healthcare
  • Prior experience in fast-paced, high-pressure, and diversified health care environment
  • Strong interpersonal skills with overall focus on meeting internal and external customer needs.
  • Excellent verbal and written communication from working with front line staff up to senior executive levels.
  • Project management will be required to work cross-functionally to design, develop, execute and evaluate on-boarding, mentoring, retention and off-boarding programs.
  • Self initiative and leadership. The position will require that new ideas and processes will need to be standardized.
  • Demonstrated problem solving skills.
  • Highly developed organizational and prioritization skills.
  • Thorough knowledge of various software applications such as spreadsheets, presentations and word processing (MS Word, Excel, PowerPoint, Publisher, etc.)
  • Adaptable and flexible with a strong sense of initiative and follow through.
  • Ability to work independently or collaboratively with others as part of a team.

 PREFERRED QUALIFICATIONS

  • Bachelor’s degree or equivalent.  Expert knowledge of policies and practices relative to AC Supervision activities within NWP.
  • Working knowledge of federal and state regulatory or compliance matters regulations related to AC Supervision activities within NWP.
  • Ability to work in cross-functional teams.
  • Confidence and willingness to take initiative and to be proactive.
  • Excellent time management/prioritization skills; demonstrated ability to handle multiple tasks, with shifting priorities, successfully meeting deadlines.
  • Ability to assimilate and apply complex and diverse state/federal regulations, accreditation requirements, and similar material.
  • Excellent oral and written communication skills.
  • Demonstrated ability to work with a diverse group of staff, managers, physicians, dentists, ACs and labor partners.
  • Ability to use and communicate through personal computers, devices, or other resources. Experience and understanding of health care operations.
  • Five years experience in human resources field with specific experience on-boarding and retaining health care professionals.
  • PHR or SHRM-CP preferred
